ROLE OVERVIEW

We’re looking for a proactive, detail-driven Project Manager (PM) to coordinate, manage, and optimise workflows across our digital marketing channels - SEO, Paid Media, Email, and Web Development.
As the key link between our specialists, management, and clients, you’ll ensure projects are delivered on time, within scope, and aligned with client objectives. You’ll champion efficient task delegation, clear communication, and performance tracking, while supporting the Client Success team and Head of Client Success in delivering seamless client experiences.

Key Responsibilities

  1. Project Coordination & Execution
    • Oversee and manage SEO, SEM, Paid Media, Email, and Dev projects from kickoff to completion.
    • Build and maintain detailed project plans, outlining tasks, timelines, and deliverables.
    • Ensure all projects follow structured workflows and project management best practices.
    • Monitor progress, track KPIs, and keep projects on schedule.
    • Maximise productivity by optimising the team’s time and workload.
    • Maintain and update tasks in ClickUp, making adjustments as priorities shift.
  2. Team Coordination & Workflow Management
    • Brief team members clearly, ensuring they have all information and resources needed.
    • Assign work efficiently and monitor performance for optimal resource allocation.
    • Organise and streamline workflows to prevent bottlenecks and improve efficiency.
    • Enforce deadlines and time-tracking policies, holding team members accountable.
    • Lead regular WIP (Work in Progress) meetings, tracking action items and deadlines.
    • Promote consistent ClickUp usage for transparency and efficiency.
    • Identify and resolve potential blockers before they impact delivery.
  3. Communication & Client Engagement
    • Participate actively in client meetings, providing transparency and strategic guidance.
    • Collaborate closely with the Client Success team to align execution with client goals.
    • Ensure timely communication between management and the team, escalating issues as needed.
    • Keep clients informed on progress, milestones, and strategic recommendations.
    • Coordinate and schedule client meetings to maintain strong engagement.
    • Support reporting on channel performance and identify optimisation opportunities.
  4. Quality Assurance & Reporting
    • Ensure thorough testing and clear client sign-off before implementation.
    • Contribute insights and recommendations for Quarterly Business Reviews (QBRs).
    • Own the monthly and quarterly reporting process, tracking KPIs and performance trends.
    • Present reports in a way that connects results to strategic goals and project plans.

What We’re Looking For

  • Proven experience as a Project Manager in a digital marketing environment.
  • Strong understanding of SEO, Paid Media, Email Marketing, and Development workflows.
  • Excellent organisational, communication, and stakeholder management skills.
  • Proficiency with project management tools (ClickUp preferred).
  • Ability to work across time zones, specifically aligning with Sydney business hours.
  • Detail-oriented, proactive, and solutions-focused.
